What data can be technically transferred when merging two systems?
When merging two separately managed entities (subdomains), onboard enables the migration of certain data. Here is an overview:
Job openings
The following data can be migrated:
- Job opening status (published job advertisements are saved in the new system with the status “Draft”)
- Job title (in all possible languages)
- Description (in all possible languages)
- Background image
- Salary details
- Contact person
- Employment Type
- Entry date
- Locations *
- Departments *
- Automatic e-mail response *
- Comments
(if a user with this email address is found in the new system, they will be displayed as the author)
* this data requires mapping for migration, which must clearly indicate the correct assignment.
The following data will not be migrated:
- Statistics
- Campaigns (applicant origin)
- Published channels
- Manual access rights
- Application form
- Individual PDF templates
Candidates
The following data can be migrated:
- Applicant file incl. fields *
- Documents
- Candidate status *
- Job advertisement for which the person applied
- Messenger history
(if a user with this email address is found in the new system, they will be displayed as the author) - Comments
(if a user with this email address is found in the new system, they will be displayed as the author) - Information on consent data protection and retention period

The following data will not be migrated:
- Tags
- Activity
- Manual access rights
- Messenger templates
- Statistics
- Campaigns / Applicant origin
User management
Users and roles will not be migrated.

Settings
The settings will not be migrated.
Career page
If you have linked your career page using iFrame code or the onboard job list, an adjustment is necessary after changing the subdomain in order to display the published jobs.
If, on the other hand, you use the interface to integrate the jobs on your career page, please inform your technicians to adjust the URL when changing the subdomain.
General
Further adjustments necessary to maintain functionality after migration:
- Redirection of subdomain (mycompany.onboard.org)
- Redirection of messenger email address ([email protected])
- Embedding new data protection guidelines (if necessary)

Frequently asked questions
Will I still be able to access my data in the old system after the migration?
The old system will remain in place for a certain period of time (6 months). This will give you the opportunity to export your data or create a data backup if necessary.
After this period, the system will be irrevocably deleted.
